Phone Guide

 

INITIALIZE YOUR VOICE-MAILBOXFor New Users to set up a new voice mailbox.

  • Call the Voice Mail System, by pressing the  button, or dial x3999.
  • If necessary, enter your 4-digit extension.
  • Enter your TEMPORARY password (97045).
  • Follow through the Cisco Unity Connections Voice-Mail setup tutorial.

 

Sample of a Standard Personal Greeting:

You have reached the voicemail for (Name) (Title) at Clackamas Community College. I’m sorry I have missed your call.  Please leave a detailed message, and I will get back with you as soon as possible.  Thank You.

 

Place Calls            

  • To make an in-house call, lift your handset, then dial number.
  • To use Speakerphone, press the  button, then dial the number.
  • To make an outgoing call, lift your handset, dial 9 and then the number.
  • To use Speakerphone, press the  button, dial 9 and then the number.

 

Receive Calls     

  • To receive a call, lift the handset.
  • To use Speakerphone, press the  button.

 

Volume Control   You can adjust the volume of your Cisco IP telephone.

  • The handset/speaker volume is controlled with the volume bar

 

Redial    Use Redial to automatically redial the last number called.

  • Life the handset, or press the button.
  • Press the soft key, Redial.

 

Hold

  • To place a call on hold, press the soft key, HOLD.
  • To retrieve the call, press soft key, Resume.

 

Transfer      Transfer allows you to extend a call to another extension.

  • To transfer a call, press the soft key, Transfer (the caller is now placed on hold).
  • Dial the extension you want to receive the call, announce the call.
  • Press the Transfer button again to complete the transfer.

 

Conference       You can set up a conference call for up to 4 people (including yourself).

To set up a conference call:

  • While on a call, press the soft key, then press Conference. (The other party is put on hold).
  • Dial the number of the person you want to add to the conference (9+number if person is outside your phone system).
  • Press the Conference key (all parties will be connected).

 

Call Forward All    To forward your calls to another phone or to voicemail:

  • (Do not lift your handset) Press the soft key, Forward All.
  • Dial the extension number where you want your calls to ring, or for Voicemail press  button (Display reads “Forwarded to Voicemail. 

                        To cancel Call Forwarding:
  • (Do not lift your handset) Press the soft key, Forward Off.

 

Corporate Directory    The “Corporate Directory” is the on-phone CCC electronic phonebook.

  • Press the  button and Choose 2 for the “Corporate Directory” entry. Fill in any of the available fields and Press “Search”

 

Voice-Mail    The  button allows you to automatically dial into voice-mail.

  • Press the button, or dial x3999.
  • If/when prompted, enter your 4-digit extension and password
  • Follow the voice instruction prompts.

 

Direct to Voice Mail   Useful for leaving voice-mail for another Cisco phone user without ringing their phone.

  • Dial *xxxx  (where xxxx is the extension where voice-mail is to be left).

 

ACCESSING VOICE-MAIL

  • Externally:
    • From a Touch-Tone phone, dial 503-594-3999.
    • Enter your 4 digit extension number, then press #.
    • Enter your password, then press #
       
  • Internally:
    • Press the  button, or dial x3999.
    • If/when prompted, enter your extension and/or password, then press #.

(Tip:  If you press a wrong key, press * to start the process over)

 

MAIN MENU IN VOICE-MAIL, PRESS

  • 1: To SEND a message
  • 2: To play NEW messages
  • 3: To review OLD or SAVED messages
  • 5: For SETUP Options
  • *: To Exit
  • 0: Main menu help
  • #: Repeat menu

 

CUSTOMIZING YOUR VOICE-MAIL

  • Call into voice-mail (see “Accessing Voice-Mail” section above)
  • Press 5 : Setup Options
  1. Greetings
    1. Re-record your standard greeting
    2. Turn your alternate greeting on/off for vacation, out-of-office, etc.
    3. Edit other greetings (i.e. busy, closed, internal callers only)
    4. hear all greetings
       
  2. Message Settings
    1. Change message notification
       
  3. Preferences
    1. Change password PIN
    2. Change recorded name
    3. Change directory listing

 

PLAYBACK A NEW MESSAGE—Press 1

  • To playback NEW messages—press 1.
  • To review OLD or SAVED messages that have been sent to you—press 3 and then 1.
  • After listening to the message, use the following Controls:

1: Repeat the Message
2: Save the Message
3: Delete the Message
4: Reply to Message
5: Forward the Message
6: Mark the Message New
7: Skip Back
*:  Cancel Playing Messages
0:  Help

 

SENDING A MESSAGE—Press 2

To send a message to someone, press 1 (at the main menu).  Follow the voice prompt steps:

  • RECORD your message at the tone, then press # to stop recording.
  • Follow the Unity Connections instructions to address the message and press #
  • Press 91 to add another name to the list OR
  • To SEND your message, Press #
