Auto reply for college email

Setting up automatic replies for email address is much easier when it is configured in the web version of Outlook. This is due to the web version applying changes globally quicker than the desktop version of Outlook. It also allows you to more precisely make these settings for different mailboxes so you know for sure which one you are working with.

Prerequisite: For making changes to a shared mailbox, you need to first have permission to access the mailbox. You will receive an "access denied" message otherwise. 

 

1. The first thing you need to do is go to your staff email address. This can easily be done from inside of MyClackamas.

 

2. If you planning on changing your own email auto reply, skip down to step 3. If you are planning on changing the auto reply for a shared email, then proceed with this step:

Click on your profile in the top right of window. The icon will either have your initials or your custom profile picture. You will then need to select "Open another mailbox". This will then give you a window to enter the email address of the shared mailbox. As you are typing, it should come up with the email automatically, then you can select "Open". You will know if you have done this successfully as you will have the shared mailbox be open in another tab and you can see the emails for that mailbox.

 

3. In the top right of the window, you will want to click on the gear icon.

Note: If you are doing this from inside of a shared mailbox, you will notice the profile icon is the same as yours. This is completely normal and does not dictate which mailbox you are in.

 

Another window should come up. You will want to select "Mail", then "Automatic replies". You can then turn on the auto replies and configure the message that will be used either on campus or off campus as needed. You will then need to be sure to select "Save".
