Setting up email on your mobile device

To set up Microsoft 365 (Exchange Online) email on iPhone and Android devices with MFA enabled, use either the built-in Email (native) app or the Outlook mobile app. Both processes require identity verification with Multi-Factor Authentication (MFA), typically using Microsoft Authenticator or another method, depending on your organization’s setup.

iPhone - Native Mail App

Settings > Apps > Mail > Mail Accounts > Add Account > Microsoft Exchange

  1. Enter the Microsoft 365 email address and tap Next

  2. Tap Sign In when prompted to confirm account usage (Settings will use microsoftonline.com)

  3. Select Continue to proceed to the sign-in page

  4. Enter the email password and tap Sign In

  5. For MFA: Verify identity using the configured authentication method (Microsoft Authenticator app or one-time code)

  6. Tap Continue if asked to trust the domain

  7. Tap Accept to grant permissions for Microsoft 365 and Apple Mail integration

  8. Tap Save to complete setup

iPhone - Outlook Mobile App

App Store > Search "Outlook" > Install

  1. Open the app and tap Get Started, then allow notifications

  2. Enter Microsoft 365 email address and tap Add Account

  3. Enter password and tap Sign In

  4. For MFA: Complete authentication using Microsoft Authenticator or verify with a one-time code

  5. Accept permissions if prompted

  6. Tap Maybe Later to skip adding additional accounts

Android - Native Gmail App

Gmail App > Menu > Settings > Add Account > Exchange and Office 365

  1. Ensure Gmail is updated to the latest version via Google Play Store

  2. Enter Microsoft 365 email address and tap Next

  3. Select Work or school account if prompted about multiple account types

  4. Enter email password and tap Sign In

  5. For MFA: Verify identity through one-time code or authentication method

  6. Tap Continue if asked to trust the domain

  7. If first-time MFA setup, follow prompts to configure authentication method

  8. Tap Accept for permission requests

  9. Tap Done when account setup completes

Android - Outlook Mobile App

Google Play Store > Search "Outlook" > Install

  1. Open Outlook and tap Get Started

  2. For existing users: tap account menu > Settings > Add Account

  3. Enter Microsoft 365 email address

  4. Select Work or school account if prompted

  5. Enter password and tap Sign In

  6. For MFA: Complete authentication using configured method

  7. Tap Continue if asked to trust domain

  8. Tap Accept for permission requests

  9. Tap Maybe Later to skip additional accounts

MFA Considerations

Modern authentication with MFA works seamlessly with both Outlook Mobile and native mail apps for current Microsoft 365 accounts. Authentication flows directly through Microsoft's sign-in process, supporting Microsoft Authenticator, one-time codes, or other configured MFA methods. App passwords are only required for legacy applications that don't support modern authentication.
